Privacy Policy
1 · What we collect
Registration details (name, work email, phone, organisation, designation), billing details including GSTIN where you provide one, and event operations data such as check-in time and pass status. A participant directory profile exists only if you opt in.
2 · Lawful basis & consent
- Event communication — required to hold a pass, or to receive a reply from us.
- Marketing updates — a separate opt-in, never pre-ticked, withdrawable at any time.
- Participant directory listing — a separate opt-in; withdrawing it removes you from the directory immediately.
- Recognitions nominations — used to run the judging process, including contacting a nominated plant.
- Photography and recording at the venue is covered in the Terms and signposted on site.
We record the exact wording you were shown for each consent, with its date, so we can show what you agreed to rather than only that you agreed.
3 · Sharing
We use processors for payments, email and hosting. We do not sell personal data, and we do not hand delegate contact details to sponsors or exhibitors.
4 · Retention & your rights
Registration and billing data is retained for the statutory financial-record period; marketing consent until you withdraw it. You may request access, correction or deletion at any time through grievance@iffs.co.in — acknowledged within 72 hours and resolved within 30 days. Final text to be settled with counsel under the Digital Personal Data Protection Act, 2023.
Terms of Registration
1 · Passes
- A pass admits the named holder only; identity may be checked against the badge.
- Transfers are free and self-serve until 5 February 2027. The original QR code is voided when a new one is issued.
- Student and academic passes require a valid full-time institute ID at the gate.
- All prices are quoted exclusive of GST, charged at 18%.
2 · Programme & venue
The programme is the working plan for edition 1 and may change; timings may shift. The venue publishes on allotment. Material changes are notified to every pass-holder by email.
3 · Recording notice
Sessions are photographed and recorded. By attending you consent to appearing incidentally in event imagery; write to media@iffs.co.in for removal requests.
4 · Conduct
IFFS is a professional forum. We may decline or revoke a pass, without refund, for conduct that makes the event unsafe or unwelcoming for others.
Refund & Cancellation
- Cancellation up to 15 January 2027 — 100% refund of pass value plus GST.
- 16 to 31 January 2027 — 50% refund of pass value plus proportional GST.
- From 1 February 2027 — no refund. A free transfer remains available until 5 February 2027.
- Cancellation of the event by IFFS — 100% refund including GST, within 14 days.
- Refunds return to the original payment method. Payments made by bank transfer are refunded by bank transfer.

Accessibility Statement

- Venue selection criteria include step-free entry, accessible washrooms and reserved seating.

- Accessibility feedback is triaged like a defect — acknowledged within 72 hours.
